1Who We Are
This Privacy Policy applies to Alex Goodman, Sales Representative at RE/MAX Your Community Realty, Brokerage (the “Brokerage”), located at 8854 Yonge Street, Richmond Hill, Ontario L4C 0T4. References to “we,” “us,” or “our” in this Policy refer to Alex Goodman acting in his capacity as a registered Sales Representative under the Trust in Real Estate Services Act, 2002 (Ontario) and the Brokerage where required by law.
We are committed to protecting the privacy of personal information that you provide to us or that we collect about you in the course of providing real estate services.
2What Personal Information We Collect
We may collect the following categories of personal information from you, depending on your interaction with us:
- Contact information — name, email address, phone number, and mailing or property address.
- Transaction information — details about properties you are buying, selling, leasing, or evaluating; timelines; budget; and preferences.
- Identification information — government-issued ID, date of birth, and occupation as required by the Proceeds of Crime (Money Laundering) and Terrorist Financing Act and FINTRAC obligations.
- Financial information — mortgage pre-approval letters, proof of deposit, source of funds, and employment information where required for a transaction.
- Website data — IP address, browser type, pages visited, and approximate location, collected through standard server logs and any cookies or analytics tools described in Section 9.
3Why We Collect It (Purposes)
We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances, including:
- Responding to your enquiries and providing the real estate services you request (buyer representation, listing representation, market evaluations, referrals).
- Preparing and administering agreements, offers, and closing documents.
- Verifying your identity and complying with anti-money- laundering, brokerage, and regulatory requirements.
- Communicating with you about your active transaction or enquiry. We do not add you to any marketing list without your express consent.
- Operating, securing, and improving our website and forms.
4How We Obtain Your Consent
By submitting a contact form, calling, emailing, or otherwise engaging us, you consent to our collection and use of your personal information for the purposes listed above. Where required by law, we obtain your express consent (for example, the checkbox on our contact form confirming you agree to be contacted about your enquiry).
You may withdraw your consent at any time by contacting our Privacy Officer, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to continue providing services to you.
5Disclosure to Third Parties
We do not sell your personal information. We may share it only as necessary with:
- The Brokerage — RE/MAX Your Community Realty, Brokerage, which holds the underlying records as required by the Real Estate Council of Ontario (RECO).
- Service providers — for example, our customer-relationship-management platform (Follow Up Boss), our transactional-email provider (Resend), and our hosting provider (Vercel). These vendors process information on our behalf under contract and are not permitted to use it for their own purposes.
- Cooperating brokerages, lawyers, lenders, and inspectors — where you authorize us to share information to advance your transaction.
- Government and regulatory bodies — where required by law, court order, or by RECO, FINTRAC, or the Canada Revenue Agency.
Some of these service providers may store or process data in the United States. By providing your information you consent to such cross-border processing, which remains subject to applicable Canadian privacy law.
6Safeguards
We protect personal information using physical, organizational, and technological safeguards appropriate to the sensitivity of the data. These include encrypted transport (HTTPS) for our website, access controls on our CRM and email systems, password and two-factor protection on key accounts, and limiting access to personal information to those who need it to do their work.
No method of transmission over the Internet or storage is 100 % secure. While we strive to use commercially reasonable means to protect your personal information, we cannot guarantee absolute security.
7Retention
We retain personal information only as long as necessary for the purposes for which it was collected and to comply with our legal and regulatory obligations. Records relating to completed real estate transactions are retained by the Brokerage for the minimum periods required under the Trust in Real Estate Services Act, 2002 and FINTRAC requirements (generally six years from the date of the transaction).
8Your Rights
Subject to legal exceptions, you have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Withdraw consent (subject to the limitations described in Section 4).
- File a complaint with our Privacy Officer or with the Office of the Privacy Commissioner of Canada.
To make a request, contact our Privacy Officer using the details in Section 12.
9Cookies & Analytics
Our website uses a minimal set of cookies and similar technologies that are strictly necessary for the site to function (for example, to remember your form state) and to collect basic aggregated usage statistics. We do not use third-party advertising cookies. You can disable cookies in your browser; some features of the site may not function correctly if you do.
10Children
Our services and website are intended for individuals 18 years of age or older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact our Privacy Officer and we will delete it.
11Updates to This Policy
We may update this Policy from time to time. The “Last updated” date at the top of the page indicates when the most recent changes took effect. Material changes will be highlighted on our website or communicated to you directly where required by law.
